Visibility Settings Explained

When you create content, you're provided the "who can see this" widget that allows you to determine who can see what you're creating. The settings are different based on where you're creating the content whether it be in an umbrella or an organization. The difference between the two levels are explained in detail below.

Organization Visibility Settings

Visibility Setting Purpose
Public + Website Visible to anyone, including users who do not have an OrgSync Account. Use this if you’re looking to share a link to this resource from an external website. Users do not need to log in to view this.
Community-Wide (Eg: State University) Visible to users who are members of your community. Users will be prompted to login to view this.
Organization-Wide (Eg: Student Gov't) Visible only to members that are part of the organization where the content was created. Users will be prompted to login to view this.
Selected Groups Visible only to selected groups (designated within the People tool) within your organization. Example: Only sharing the content with administrators within your portal. Users will be prompted to login to view this.

 

Umbrella Visibility Settings

Visibility Setting Purpose
Public + Website Visible to anyone, including users who do not have an OrgSync Account. Use this if you’re looking to share a link to this resource from an external website. Users do not need to log in to view this. Content marked with this visibility setting will also be posted in all orgs under the umbrella.
Community-Wide (Eg: State University) Visible to users who are members of your community. Users will be prompted to login to view this. Content marked with this visibility setting will also be posted in all orgs under the umbrella.
Umbrella + All Organizations  Visible to users who are members of your umbrella + all organizations underneath your umbrella. Users will be prompted to login to view this. Content marked with this visibility setting will also be posted in all orgs under the umbrella.
Umbrella + Selected Organizations Visible to users who are members of your umbrella + selected organizations underneath your umbrella. Example: Only sharing content within Greek organizations. Users will be prompted to login to view this. Content marked with this visibility setting will be posted in the selected organizations.
Umbrella (Eg: Student Life) Visible to users who are members of your umbrella. Users will be prompted to login to view this. 


Public + Website Notes

There are a couple of things to keep in mind when using the Public + Website visibility setting. By making something public, it means that anyone can see the content you've created but there still may be a feature of the tool that requires a user to log in. For example, you can view a poll publicly but you must sign in to vote because all votes are collected anonymously. Another example is on events, where you can view a public event but you must login if you want to RSVP.
